About the Role
The Executive Assistant serves as a strategic partner to executive leaders, ensuring smooth operations and effective communication across the organization. This role directly supports decision-making and strategic priorities by managing complex projects, scheduling, global travel, and event planning. The position is critical in anticipating needs, driving initiatives to completion, and fostering collaboration among key stakeholders, making it a linchpin in the organization's executive functioning.
Responsibilities
- Drive cross-functional projects from start to finish to meet organizational goals
- Plan and manage global team offsites and events, including logistics and vendor negotiations
- Coordinate executive presence and communication across global offices
- Manage executive schedules aligning with business priorities
- Build and maintain relationships with internal and external stakeholders
- Plan, execute, and ensure timely completion of key tasks and deliverables
- Oversee meeting planning, documentation, and follow-up on action items
- Develop and improve systems and workflows for efficiency
- Consolidate organizational data into clear executive summaries
- Provide dynamic scheduling and calendar management with comprehensive preparation
- Manage personal appointments and support work-life integration for executives
- Prioritize and manage email inboxes to focus on urgent and high-value communications
- Oversee domestic and international travel planning and approvals with detailed accuracy
- Manage travel expenses and reimbursements promptly
Requirements
- 8-12 years of executive-level support experience, preferably in a fast, agile environment; SaaS industry experience is a plus
- Strong technical skills with rapid adaptability to new tools and systems; proficient in Microsoft Office and Google Suite
- Extensive experience managing complex global travel and related documentation
- Ability to adapt and maintain a proactive attitude in a fast-changing environment
- Exceptional attention to detail in scheduling, documentation, and travel arrangements
- Skilled in prioritizing multiple urgent requests across time zones
- Takes initiative with minimal supervision and anticipates organizational needs
- Excellent verbal and written communication skills for diverse stakeholders
- High integrity and discretion in handling confidential information
Compensation
The pay range and compensation package for this role will be determined based on the candidate's experience, skills, and other relevant factors.
